Open AI agent in the right business
Use Ask AI agent in the application header or open AI agent from the workspace overview. Owners and editors can use the agent. Check which business is selected before describing the work.
A conversation belongs to the signed-in person and that business. Workspace or account recovery clears the current browser conversation. Use the normal workspace forms if AI agent is unavailable or you prefer to enter details directly.
Describe the record you want
For an invoice draft, supply the customer, description, quantity, price and currency. For example: “Prepare an invoice draft for Northline Supply: 2 design sessions at USD 400 each. Use the customer already in this business.”
AI agent can also prepare a customer, quote or estimate draft, and saved products or services. Supply the dates and any tax information appropriate to your transaction; do not assume AI agent can choose your tax treatment. If it asks for a missing detail, answer it before reviewing the final proposal.
Check the preview before confirming
Read the proposed customer, currency, lines, dates and calculated amounts. Check that an existing customer is the intended one and that no important instruction was omitted.
Use the separate confirmation button on the preview to create the record. Writing “yes” in chat does not execute it. If the preview needs correcting, ask for a revised proposal rather than confirming details you plan to fix later.
Continue the invoice workflow
A confirmed invoice proposal creates a draft. Open it to review the complete document, make any remaining edits and save. If your business uses owner approval, obtain approval for the current draft version before issuing.
Issue and send through the existing invoice controls when ready. AI agent cannot issue or send documents, record payments, remove records, change permissions or carry out tax filings.
Ask about outstanding work
Try “What is overdue?” or “Find the recent invoices for Northline Supply.” AI agent can read permitted customer, invoice, quote and catalogue results for your selected business.
Treat a summary as a starting point for review and open the underlying record when you need the full detail. Balances stay separated by currency; AI agent does not perform a live conversion or reconcile a bank account.
When a preview expires or something changes
An unconfirmed preview expires after 15 minutes. If it expires, or relevant business details or access have changed, ask AI agent for a fresh proposal and review it again.
