Record payments and create credit notes

Keep the invoice, the money received and any reduction to the charge distinct and easy to follow.

Bank-transfer activation

Eftheia payment services require their own provider onboarding and activation. Transfers remain disabled until activation, setup and separate payment authorization are complete. The Eftheia plan is €39.95 per month. Applicable taxes and payment details are shown before purchase.

Review the document and the recipient before issuing an invoice. Record a payment only after verifying that it was received, or review a posted incoming bank transaction and match it to the invoice. Connecting a bank feed does not initiate payment.

Record money that has arrived

Open the issued invoice after you have confirmed a payment in your bank or other records. Enter the amount applied in the invoice currency, the received date, method and a useful reference.

This is a record of an external payment. It does not request or transfer money. Check carefully before saving; an entry should reflect a real receipt, not a payment you expect to arrive later.

Handle a partial payment

For an illustrative USD 1,000 invoice with a USD 300 payment, record 300. The remaining balance is USD 700. Record later payments separately so the history continues to show when each amount arrived.

The application rejects a payment that exceeds the currently collectible balance. If money arrived in another currency, first establish the amount applied in the invoice currency using your own payment records.

Reduce an issued charge with a credit note

Open the invoice’s credit-note workflow, select the original lines and quantities to credit, and enter a reason and date. Review the credit before issuing it.

A credit note has its own number and preserved PDF, references the original invoice, and uses the original currency and calculation details. Cumulative credits cannot exceed the original invoiced amounts.

Understand a credit after payment

A credit does not erase the payment history. If an illustrative USD 1,000 invoice has already been paid in full and you issue a USD 200 credit, the customer has USD 200 of credit or refund due.

That figure does not mean Eftheia sent a refund. Arrange repayment through the payment method used for the original transaction and retain its supporting record.

Read reports in their currency

Customer statements and simple reports keep amounts grouped by invoice currency. Review paid amounts, credited amounts and the outstanding balance together.

Do not treat an operational statement as a full general ledger or a bank reconciliation. It is a view of the invoices, payment records and credit notes kept in this workspace.
