A thoughtful invoice review.

A clear invoice starts before it is sent. Give the recipient, the work and the arithmetic the same attention.

01

Begin with the business event

Write down what was supplied and who it was supplied to. A useful line description connects the invoice to an agreed piece of work. “Design services” may be too broad when the customer expects two specific workshops. Keep the accepted scope or source order nearby rather than relying on a remembered conversation.

02

Check the details in order

Review the customer identity, document date, reference, currency, quantities and unit prices. Then work through discounts and any tax inputs that apply to the transaction. The arithmetic should follow the documented terms. An attractive PDF cannot compensate for the wrong recipient or an unexplained charge.

03

Separate the draft from the decision

A draft is an opportunity to catch an error. Ask a second reviewer to check an unusual amount or a changed customer detail. If your AI agent helped prepare the wording, compare its suggestions with the actual agreement. Keep uncertain tax treatment as an explicit question for the person responsible for it.

04

Make the handoff understandable

Tell the next person what you checked and what remains unresolved. Retain the version that was approved so that a later change is visible. An invoice record and a payment record answer different questions: one describes the amount billed; the other records money received.
