An invoice is not a settlement.

Keep the amount billed, the payment recorded and the amount received distinct.

01

Identify what each document represents

An invoice describes an amount billed for a business event. A payment record describes money that has been received or otherwise recorded against it. A provider settlement can combine activity and fees. These documents should support each other without being treated as interchangeable.

02

Match with more than the amount

Compare the currency, date, counterparty and reference. Two payments can share the same amount, and a single invoice can receive several partial payments. Keep the evidence used for the match so that another reviewer can understand the connection.

03

Explain a difference

Fees, partial payments, timing and currency conversion can create differences. Identify the source rather than forcing a total to fit. A fee shown on a provider report should remain distinguishable from the invoice amount and the cash actually received.

04

Keep recording separate from execution

Recording an incoming payment does not initiate a transfer. A bank connection does not by itself settle an invoice. Before treating an amount as paid, use the available evidence and the review process appropriate to your business.
