Set document branding, languages and attachments

Make documents recognisably yours while keeping the information behind them under control.

Open the invoice designer

A business owner can select Edit design on an invoice draft preview, or open Business settings, choose Brand & documents, then Open invoice designer. Start with Classic, Modern or Minimal and choose an accent colour.

Move and resize elements on the canvas, style individual text blocks and tables, or add a short message, lines and shapes. Keyboard arrows and Undo are also available. Required financial information stays connected to the invoice.

Check a PDF before saving

Choose Preview PDF to generate the complete document with the same PDF renderer used for issued invoices. Review or download it before saving the business design. Generating a proof does not create, issue or email an invoice.

Save design sets the default for draft and future documents. Existing issued PDFs remain unchanged. If you opened the designer while editing an invoice, your unsaved invoice text stays in the editor; save that draft separately when it is ready.

Select a supported document language

Choose English, Spanish, French or German for the standard document headings and labels. The document still shows the currency and the tax labels supplied for the transaction.

Selecting a language does not translate descriptions, notes, customer addresses or your own tax wording. Enter those in the language you intend the customer to read and check the PDF before issue.

Add useful custom fields

A draft can contain up to six label-and-value custom fields. Use them for concise references such as a project name, purchase-order identifier or delivery reference.

Treat these as part of the customer-facing document. Do not use them for internal passwords, payment-card details or private notes that the recipient should not see.

Attach supporting files privately

Draft invoices can hold up to four attachments, each up to 1 MB, in PDF, PNG, JPEG or plain-text format. A workspace storage quota also applies. Give each file a useful name.

Attachments are private workspace downloads. They do not become available through a public customer invoice link by default. Supported file type validation is not a malware-scanning service; use normal care with files received from outside your team.

Understand what issue preserves

Issue freezes the document’s branding, language, fields and invoice details in the original PDF. The invoice’s attachments also become fixed: add or remove them while the invoice is still a draft.

Changing the business logo later affects future documents, not the PDF already issued. A draft attachment change invalidates the current review version when approval is required.
