Open a design with the right context
Sign in as an owner of the business you want to update. From a draft invoice preview, choose Edit design. You can also open Business settings → Brand & documents → Open invoice designer.
The canvas uses a short design sample. When your edited invoice fields form a valid draft, Preview PDF uses those current fields, including unsaved text and every line item. Otherwise the proof uses a built-in example.
Choose a layout and make it yours
Start with Classic, Modern or Minimal and choose an accent colour in Brand & layout. Select an element on the canvas to change its font, size, colour or alignment in the inspector. Move it by dragging, resize it by its handles or nudge it with the keyboard arrows.
Use readable contrast and check a long invoice as well as a short one. Tables and longer text can flow onto additional pages, so the PDF proof is the place to check the complete document.
Bring in your logo
Upload or drop a PNG or JPEG image up to 5 MB. The browser optimises it for the stored PDF limits of 100 KB and 1,024 pixels. Supported image transparency is retained.
Drag and resize the logo on the page. If the image cannot be read or made small enough, export a simpler or smaller PNG or JPEG and try again. Use the PDF proof to check the logo’s final sharpness.
Add personality without changing the numbers
Add a text block for a short message, or use lines, rectangles and ellipses as design elements. Double-click your added text to edit it. Required invoice fields remain connected to the actual transaction and cannot be replaced with decorative text.
Set the footer and document language in Brand & layout. Standard labels support English, Spanish, French and German; entered descriptions keep their original wording. Undo and redo let you compare changes before saving.
Generate and inspect a PDF proof
Choose Preview PDF to generate the actual PDF for the current design. Open or download it and inspect every page: logo, customer details, amounts, line wrapping, payment instructions and footer.
The proof uses the same renderer as issue-time PDFs. It does not save an invoice, allocate its number, issue it or send an email. Changing the design invalidates the old proof, so generate it again after a change you want to inspect.
Save the business default
Save when the design is ready. It applies to draft and future business documents. Saving the appearance does not save unrelated edits still in your invoice form; review and save that draft separately.
Previously issued invoices retain their preserved design and original PDF. If someone changes relevant invoice or business details while you are editing, review the latest version rather than assuming an older proof covers it. Closing the designer with unsaved appearance changes asks you to keep editing or discard them.
