Test whether someone else can find the source.

A folder makes sense only if a teammate can use it without a private explanation.

01

Start with the evidence

Choose a real review question and ask where its source would be found. Test the reference, link and access using the same route the next reviewer will follow.

02

Work through the example

A handoff lists receipt R-220, but the folder uses only merchant names and dates. Add a stable cross-reference so the recipient does not have to inspect dozens of images to find it.

03

Make the next step clear

Record the small naming or linking change that solved the retrieval problem. Repeat the test on a sample after major reorganizations instead of assuming a tidy folder automatically improves access.

04

Keep the source context

A readable source and a clear label serve different purposes. Keep the original document intact while adding searchable context around it. Avoid treating filenames, OCR output or a cropped image as more authoritative than the actual source.
