Make the open-items list useful.

An open item should tell the next person what is missing, not merely that something is unfinished.

01

Start with the evidence

Start with one row per unresolved question and include its document reference, amount or scope, owner and next review date. Separate a missing source from a customer response that is still awaited.

02

Work through the example

EX-412 needs a confirmed purchase-order number, while EX-413 awaits payment matching. Both may be open, but their next steps belong to different people and require different evidence.

03

Make the next step clear

Review the list at an agreed interval and close an item only when its question has an answer. Retain the resolution note so that the same uncertainty is not recreated during the next handoff.

04

Keep the source context

An invoice record and a customer conversation provide different evidence. Keep original document references stable while adding dated notes about replies and related payments. These guides concern clear administration, not collection tactics or promises of automated money movement.
