Start with the evidence
Retain the receipt and ask the purchaser for a short description of the work it supported. Prefer a concrete project or activity over a broad label such as miscellaneous.
Work through the example
A USD48 stationery receipt becomes easier to understand with “materials for the client workshop on 8 October.” The note adds context; it does not change the amount or determine its accounting treatment.
Make the next step clear
Keep the purpose note attached to the source and identify who supplied it. If the explanation is incomplete, leave a review question rather than inventing a business reason from the merchant name.
Keep the source context
These guides concern the evidence behind a business record. A receipt, a reimbursement request and a bank movement may describe related parts of one event, but they are not interchangeable documents. Keep each source and its role visible.
